A strong request can still fail if it uses the wrong form, signer, date, or routing. Build the packet around the current board instructions before collecting narrative content.
Identify the controlling document
- Program or board announcement
- Current form and edition date
- Memorandum or letterhead instructions
- Signer rank or relationship rules
- Page, date, signature, and contact requirements
- Routing and confidentiality instructions
Give the signer relevant record context
Provide the duty record, evaluations, awards, qualifications, and target program criteria in a concise summary. Highlight observed incidents, but let the signer determine the assessment and endorsement strength.
Protect sensitive information
Use only identifiers required by the process, follow approved transfer methods, and avoid placing operational, medical, security, or personal information into a general drafting system without authorization.
Run a compliance check before routing
Verify the applicant name and rank, addressee, subject, dates, signature block, attachments, page limit, and age of the letter. A program-specific checklist is more reliable than a generic sample.
