AI can reduce the mechanical work of organizing background information, turning rough notes into readable sentences, and checking a draft for repetition. It cannot supply a recommender’s judgment, memory, or firsthand knowledge.
The responsible standard is simple: the writer must be able to verify every claim, stand behind every sentence, and comply with the destination’s current rules.
Good uses of AI assistance
- Organize applicant-supplied materials into a reviewable evidence packet.
- Separate résumé facts from firsthand observations.
- Turn the writer’s rough bullets or dictation into a clearer outline.
- Identify vague praise that needs a specific example.
- Improve clarity, grammar, transitions, and formatting after the substance exists.
What AI should never invent
Do not allow a tool to fabricate an interaction, observation, comparison, credential, result, or level of endorsement. Plausible language is not evidence. If a sentence goes beyond what the writer knows, it must be removed or clearly verified before use.
Keep applicant context and writer evidence separate
A résumé can tell the writer where the applicant worked; it cannot establish that the writer observed excellent performance there. Label applicant-reported background and use it as context only. The recommendation’s evaluative claims should come from the writer’s own experience.
Check the destination’s policy
Rules and guidance vary by institution and application service, and they can change. Review the current official instructions before drafting or submitting. When generative assistance is restricted, use an organize-only workflow: collect materials, structure evidence, and leave prose generation off.
Run the final human review
- Verify every name, date, role, program, and pronoun.
- Confirm every anecdote and result from personal knowledge.
- Remove generic phrases you would not naturally use.
- Make the strength of endorsement honest and unambiguous.
- Read the final version aloud and submit it yourself.
AI may assist with organization and expression; it must not replace firsthand evidence, independent judgment, policy compliance, or the writer’s final review.
